The Importance of Electronic Document Systems for Work From Home: A Case Study of the Faculty of Medicine Siriraj Hospital, Mahidol University.

Abstract

            Currently, the rapid advancement of information and communication technology has prompted both government and private organizations to place greater emphasis on the effective utilization of organizational resources. As a result, information technology has been increasingly adopted to enhance organizational communication and work processes. Government agencies, in particular, handle a large volume of documents circulated both internally and externally; therefore, electronic document systems have been developed to improve operational efficiency. Electronic document systems provide comprehensive document management functions, including document creation, storage, receipt, transmission, utilization, and disposal through computer networks. In the context of the “New Normal,” where remote work has become widespread, such systems are highly suitable for supporting continuous and seamless organizational communication without limitations of time and location. Moreover, these systems help reduce the risks of errors and delays commonly associated with traditional paper-based document management.

            The Faculty of Medicine, Siriraj Hospital, Mahidol University, is one of the organizations that emphasizes the development of an electronic document management system to support working from home. This system offers significant benefits to the organization as a whole by enhancing document management efficiency, improving convenience, and accelerating the work processes of executives and personnel. Furthermore, it aligns with changes in organizational contexts and contributes to improving service quality, thereby increasing confidence among service recipients. Nevertheless, challenges remain in the implementation of the system, including equipment readiness, data security at both organizational and individual levels, and work processes that require further improvement.
